This policy explains what personal data RTS Logs collects when you use this website, get in touch or place an order, what we do with it, and the rights you have over it under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
You can use this website without telling us who you are. We only collect personal data when you choose to contact us or order from us, or when you allow analytics cookies.
1. Who we are
RTS Logs is the controller of your personal data. Our details are:
- Business: RTS Logs (founded by Brian Rogers)
- Address: 445 Ringwood Road, Parkstone, Poole, Dorset, BH12 4LX
- Phone: 01202 718 883
- Email: rts.brian@gmail.com
- Website: logsdorset.com
We are a small business and are not required to appoint a Data Protection Officer. Please send any question about your data to the email address or phone number above.
2. What we collect
- When you send the enquiry form on this website: your name, email address, phone number (if you give one), your message, and the page of the website you sent it from. Anything else you choose to write in the message, such as your address or what you would like delivered, is included too. To stop spam, the form is checked by Cloudflare Turnstile, which looks at your IP address and technical signals from your browser to tell a person from a bot — see section 5.
- When you phone or email us: the details you give us so we can deal with your enquiry and, if you go ahead, take and deliver your order.
- When you order from us: the information needed to take, deliver and invoice your order of logs, coal or kindling, such as your name, phone number, delivery address, what you ordered, and records of invoices and payments.
- When you browse the website: our hosting provider keeps short-lived technical logs (such as your IP address, browser type and the pages requested) to deliver the site and protect it from attacks. If you allow analytics cookies, Google Analytics also records how the site is used — see section 6.
We do not collect special category data, and we do not knowingly collect data from children.
3. How we use it
- To reply to your enquiry or call you back.
- To take your order, deliver it to the address you give us, and invoice you.
- To keep the records the law requires, for example tax and accounting records.
- To understand how the website is used so we can improve it (only if you allow analytics cookies).
- To keep the website secure and to filter out spam sent through the enquiry form.
We do not sell your data, we do not send marketing newsletters, and we do not use your data for automated decision-making or profiling.
4. Our lawful basis
- Steps before a contract, and the contract itself — replying to your enquiry, and taking, delivering and invoicing your order (UK GDPR Article 6(1)(b)).
- Legal obligation — keeping tax and accounting records (Article 6(1)(c)).
- Legitimate interests — keeping the website running and secure, filtering spam, and keeping a record of past enquiries and orders so we can help you again (Article 6(1)(f)).
- Consent — analytics cookies, which are only set if you choose to allow them (Article 6(1)(a)). You can withdraw consent at any time — see our Cookie Policy.
5. Who we share it with
We only share your data with service providers who process it on our behalf and under our instructions:
- Resend, which sends what you write in the enquiry form to our email inbox. Your enquiry is not stored in a separate customer-management system: it arrives with us as an email.
- Cloudflare, which hosts this website and runs the small program that receives the enquiry form and passes it to Resend. Cloudflare also provides Turnstile, the bot protection on the enquiry form: it processes your IP address and signals from your browser to check that a person, not a bot, is sending the form. It does not use tracking cookies, and we do not receive what it collects — only whether the check passed.
- Google, for Google Analytics, only if you allow analytics cookies.
- Our accountant, and HMRC, where the law requires it.
Two maps on this website load content from other companies, which receive your IP address in the same way as any website you visit:
- The delivery map on our Home, Logs and Coal pages shows map images from OpenStreetMap. They load when you scroll the map into view.
- The Google Maps map showing our yard, on our Contact page, is provided by Google. It only loads if you click “Show map”; until then nothing is sent to Google. The directions link next to it takes you to Google Maps.
Some of these providers may process data outside the UK. Where they do, they use safeguards recognised under UK law, such as the UK International Data Transfer Addendum or the UK–US data bridge.
6. Cookies and analytics
We use Google Analytics 4 to count visits and see which pages are used. It only loads, and its cookies are only set, if you choose “Accept all” in the cookie banner. Until then nothing is sent to Google Analytics. Your choice is remembered in your own browser for 6 months and is not sent to us or anyone else. Our Cookie Policy lists the cookies the site sets and how to change your choice.
7. How long we keep it
- Enquiries that do not lead to an order: deleted once they are no longer needed to deal with your enquiry.
- Customer records: kept for as long as the law requires for tax and accounting records.
- Copies held by Resend: Resend keeps a record of each email it sends for a limited period under its own retention policy, then deletes it.
- Website logs: kept by our hosting provider for a short period, then deleted automatically.
- Analytics data: kept by Google Analytics for the retention period we set in it, then deleted automatically.
8. Keeping it safe
The website is served over an encrypted connection (HTTPS), and access to enquiries and customer records is limited to the people who need it. No method of sending data over the internet is completely secure, so if you would rather, you can always call us instead.
9. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct data that is wrong or incomplete;
- ask us to delete your data;
- ask us to restrict how we use your data;
- object to us using your data on the basis of legitimate interests;
- ask for your data in a portable format;
- withdraw your consent at any time, where we rely on it.
Some of these rights do not apply in every case — for example, we must keep some records by law. To use any of them, contact us using the details in section 1. There is normally no charge, and we will reply within one month.
10. Complaints
If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator for data protection: ico.org.uk or 0303 123 1113.
11. Changes to this policy
We will update this policy if the way we use personal data changes, for example if we add a new feature to the website. The current version is always on this page.
